Required Attributes / Job Functions:
Student Life
• Coordinate student arrivals/departures and orientation for each group of students (5 per annum);
• Manage student accommodations and resolve housing issues if they arise;
• Organize program’s social and cultural events, including field trips and excursions;
• Knowledge of local area and ability to respond to questions pertaining to all aspects of student life and getting around the city.
Safety and security
• Provide student support and assistance in the following kinds of situations: safety and security incidents, medical emergencies, and emotional/mental health issues. Communicate with program participants and site staff as appropriate;
• Act as main point of contact for student emergencies and be on “emergency call” during semester times (phone provided by program, plus monthly on-call allowance when relevant);
• Assist students with navigating the medical system as needed.
General Office Administration
• General office duties including, but not limited to, answering phones, processing email and post, ordering office supplies, greeting visitors, and assisting students;
• Ensure presence in office during scheduled hours to keep it open to students, faculty, and staff;
• Provide administrative support to Program Director, students, and faculty as needed (e.g. in the preparation of semester calendars, class lists, emergency contact information, welcome packs, textbook orders etc.);
• Coordinate the operational needs of the program as they relate to office space and furniture.
Finances
• Processing invoices and program expenses;
• Coordinate accounting of monthly program financial receipts; monitor and maintain requests for reimbursements and program costs, making sure they are within the program budget;
• Submit monthly report to Program Director for review and emission to the BU Finance & Administration team in Boston;
• Ensure timely payments to consultants and providers.
Required Qualifications, Skills, Abilities
• Student focused mentality with appreciation for student experience while abroad;
• Position requires knowledge of business administration;
• Bachelor’s Degree preferred, in education or related field;
• Minimum of 3 years practical experience in higher education, ideally internationally; familiarity with both the U.S and Irish university systems;
• Excellent organizational and interpersonal skills, with a high level of self-sufficiency;
• Ability to balance competing priorities and manage work cycles that are tied to the admissions calendar.
Must be flexible during busy periods.
Salary
EUR €32,000 - €36,000 per annum (depending on experience) plus phone allowance.
