ARCADIA- Irish Programmes Officer

The Irish Programme primary roles are student-facing and developmental; a significant amount of travel throughout Ireland in support of Arcadia students studying on Irish university campuses with a focus on co-curricular excursions and student learning balanced alongside a number of Dublin and centre-oriented responsibilities. The use of social media and blogging will be central to maintaining student contact, informing students of events and relaying information. This role will also be responsible for carrying the after-hours emergency phone on a rota basis, responding to lower level emergencies and forwarding serious emergencies to senior staff.

This position is based in Dublin, involves considerable travel and entails frequent evening and weekend work.

PERSON SPECIFICATION

The position requires a graduate with:

1) Master’s degree / qualification

2) Crisis response (preferably in the area of student support)

3) Event planning and management experience;

4) High level of flexibility and willingness to work outside of regular office hours;

5) Knowledge of Irish higher education;

6) Student-facing experience with local and international students in Ireland;

7) Knowledge of Ireland and its regional places of interest;

8) 2-3 years experience with office administration;

9) IT skills including MS Office;

10) Familiarity with/active use of social media including Instagram, blogging, Twitter and Facebook;

11) Excellent communication and interpersonal skills including group leadership;

12) Excellent organisation and time management skills;

13) Permission to work in the Republic of Ireland;

Desirable additional factors include:

1) Some international experience

2) Experience in leading outdoor activities

3) Salesforce CRM experience

4) Full and clean driver’s license

DIMENSION

This full-time position is based in Dublin. This position will report to the Director of Irish Programmes and Enterprise. The position will need to become familiar with regulations and procedures of The College of Global Studies at Arcadia University as well as Irish university resources and support services in order to support Arcadia University study abroad students in Ireland. It is expected that the successful applicant will develop their independence in the role over time, so that they are able to work with minimal supervision following completion of a probationary period. Candidates should be able to demonstrate the potential for such development.

Hours: This is a full-time position with evening and weekend work sometimes required.

Flexibility is also a requirement for this role

JOB DUTIES:

Program Management and Administration

1. On a rotating basis, the Irish Programmes Officer (IPO) ensures the Dublin Center remains open and accessible to students and visitors. This includes answering general inquiries, manning the Center phones, and greeting all students and visitors.

2. IPO leads and manages key aspects of program administration for the semester and summer programs at the Center and throughout Ireland including planning and managing the successful delivery of all aspects of the semester and summer programs, maintaining administrative and program dates and calendaring projects.

3. Administration of Invoices including payments

4. Responsible for critical compliance areas such as Clery reporting and Immigration. This includes liaising with International offices and local immigration authorities to ensure that students have the correct immigration measures in place. This is critical to the Center maintaining its highly trusted status.

5. Gathering dates from Irish University partners

6. In the absence of the Director, the IPO shall serve as the senior administrator on site

7. Assist and support keeping of student records;

8. Accommodation booking for Arcadia staff and visitors;

9. Other duties by request of the Director

Student Life and Programming including Emergency Response

1) Together with other Dublin staff foster a sense of community among the students at the Dublin Centre (in our Dublin orientations and throughout the co-curricular activities)

2) Together with other Dublin Ireland staff, plan, coordinate and attend orientation and co-curricular programming;

3) Participate in Irish University student visits (alongside the Director of Irish Programmes and Enterprise)

4) Handle the 24/7 emergency phone support service along with other Dublin Center staff

5) Respond to student emergencies supported by the Director of Irish Programmes and Enterprise. This is also in collaboration with Health and Safety at Arcadia University

Academic Engagement and learning support

1) Have a strong understanding of the Irish academic education system

2) Support academic queries presented by students

3) Along with the Director of Irish Programmes and Enterprise, support the sourcing of internship placements along with programme planning and delivery

4) Willingness to deliver one module in a Summer course at our Dublin Center Irish Programme Highlights through Social Media

1) Engaging students by creating relevant content for social media platforms such as Instagram, Dublin Center news blog and Whatsapp

2) Using social media platforms to promote student events, workshops, seminars, guest lectures, and other campus activities to increase attendance and participation.

3) Sharing important announcements, deadlines, and updates regarding academic schedules, campus facilities and other relevant information to keep students informed.

Health and Safety

Comply with all health and safety requirements and will be responsible for ensuring that staff, students and visitors under their direction are also in compliance.

Please note that a 6 month probationary period will be in place for this role.

Salary Range: 48k-52k
